EMA Conference 2025 Terms
- The following terms apply when you book to attend the EMA Conference 2025 (“Conference”). Individuals who attend (or register to attend) the Conference are referred to in these terms as “attendees”.
- These terms are a contract between you, the person purchasing a ticket for the Conference, and the Electronic Money Association (“EMA”, “we”, “us” etc.)
- On booking, you must provide the EMA with accurate, complete registration information and it is your responsibility to update the EMA with any changes to that information. The EMA is entitled to rely on any information you provide to us.
- Each ticket is for a single user only. You may purchase multiple tickets in one booking. The email address that you provide on booking must correspond to a named email account and not a generic or shared email account.
- If you purchase tickets for multiple persons, you must ensure the persons for whom you are purchasing tickets read and comply with these terms.
- All bookings are subject to availability and acceptance by the EMA, which will be confirmed in writing (including by email) when the EMA has received the completed booking form, the related fees if required, and anything else that we may require.
- The EMA reserves the right to refuse to accept any booking in its absolute discretion.
Fees
- Fees for the Conference are correct at the time of publication. The EMA reserves the right to change the fees at any time but changes will not affect registrations which have already been confirmed by the EMA. The fees are payable at the same time as you submit your booking form by card. You acknowledge that the EMA cannot guarantee places held on a provisional basis and that places may sell out.
- The fees do not include travel to or from the Conference or any accommodation costs incurred.
Changes, cancellations and postponements
- In certain circumstances it may be necessary for the EMA to alter the content, format, venue or timing of the Conference. All attendees will be notified of such changes prior to the Conference.
- If you cannot attend the Conference, please contact us as soon as possible (and in any event no later than 24 hours before the Conference) at conference@e-ma.org. We will allow a substitute to attend the Conference in your place (provided that we have received the details of that substitute).
- Once purchased, tickets are, generally speaking, not cancellable. In exceptional circumstances, we may permit you to cancel your ticket and obtain a refund. Refunds will be given at the absolute discretion of the EMA.
- The EMA may in exceptional circumstances need to postpone or cancel the Conference, and we will notify you as soon as reasonably practicable of any such postponement or cancellation. If the Conference is cancelled, or if the Conference is postponed and you cannot attend the rearranged date, we will refund any fees you have paid in advance within 8 weeks. You agree that the EMA’s liability to you will be limited to the amount of the fees you have paid and the EMA will not be liable to you for any expenditure, damage or loss incurred by you as a result of the cancellation or postponement.
- The EMA may amend or cancel a booking at any time, including (without limitation) if maximum booking numbers have been exceeded or if your payment method has been declined. If there is a material change to, or cancellation of, your booking, the EMA will notify you as soon as reasonably practicable of such amendment or cancellation and the EMA will refund any fees you have paid. The EMA will not be responsible for any costs or expenses you have incurred on the booking in excess of the Fees you have paid.
Your attendance
- Please advise us of any special access requirements at the time of making your booking for the Conference.
- The EMA reserves the right, without any liability, to refuse you admission or eject you from the Conference for failure to comply with these Terms; or if in the EMA’s opinion you represent a security risk, nuisance or annoyance to the running of the Conference.
- You are responsible for arranging your own appropriate insurance cover in connection with your attendance at the Conference. To the maximum extent permitted by law, the EMA will not be liable for any kind of loss or damage to you or your personal property, unless caused by our negligence.
- Materials distributed by or on behalf of the EMA at the Conference may not be reproduced without the EMA’s permission.
Filming, photographs and recordings
- Except as otherwise instructed at the Conference (for example, where sessions are stated to take place under the Chatham House Rule), you are permitted to make reasonable video or audio recordings and to take photographs at the Conference, in each case for your own personal use. You must not make video or audio recordings of the whole (or substantially the whole) of the Conference or of any session within the Conference, or use any recordings or photographs for commercial purposes, unless expressly permitted by the EMA.
- You acknowledge that the Conference or part of it may be filmed by audio, visual, audio-visual or electronic means or photographed, including photographs of individual attendees or groups of attendees. You agree to permit the EMA, or any third party licensed by the EMA, to use and distribute such footage and photographs, which may feature images of you, in all or any media (including social media) for the purposes of advertising, publicity, reporting or otherwise. Please inform the photographer if you do not wish to be included in any individual or group photographs.
Use of your information
- All information received by us from your attendance at the Conference will be used by the EMA in accordance with our privacy policy. Please read this for details of how we may process your personal data.
Terms for speakers
- If you are a speaker or moderator at the Conference, you acknowledge that any or all of the following may apply to your involvement in the Conference:
- You may be recorded (video and/or audio) and/or photographed during the course of your contribution to the Conference, and the EMA may make such recordings or photographs publicly available at the EMA’s discretion;
- We may share your contact details with other speakers for the Conference, for purposes relating to your participation in the Conference; and
- We may mention you on our social media channels, with or without your photograph.

- You confirm that your contribution to the Conference will comprise your own original content and that you will either own, or have permission to use, any materials you use, distribute or display at the Conference (for example, any slides, handouts or other presentation materials).
Limitation of liability
- In these terms, “Conference Content” means any content communicated, supplied, displayed or otherwise made available by us, or by any speakers, at or in connection with any Conference. This includes, but is not limited to, any presentations, handouts, slides or audiovisual materials.
Conference Content is only for your general information and entertainment purposes and is not intended to address your particular requirements. In particular, Conference Content does not constitute any form of advice, recommendation, representation, endorsement or arrangement by the EMA or by any speaker. It is not intended to be and should not be relied upon by you in making (or refraining from making) any specific investment, purchase, sale or other decisions.
Views expressed by speakers are their own and the EMA disclaims all liability for advice given or views expressed during the Conference.
Disclaimer
- The EMA will provide the Conference with reasonable skill and care and in accordance with good industry practice and all applicable laws.
- The EMA does not provide any other promises or warranties about the Conference. The Conference is provided on an “as is” and “as available” basis. This means that the EMA does not make any promises in respect of the Conference, whether its quality, completeness or accuracy other than as expressly stated above.
- The EMA is not liable for matters beyond its reasonable control. The EMA does not control acts of god or the acts of third parties, for example.
- You agree that if we are in breach of these terms, we will only be responsible to you for any damages that you incur arising out of your attendance at the Conference or your use of Conference Content (to the extent that the EMA’s liability is not otherwise excluded by this section 21) as follows:
- If you incur any loss as a result of attending the Conference or using Conference Content outside the scope of these terms, the EMA accepts no responsibility (liability) to you for this.
- You will be responsible for all claims, liabilities, damages, cost and expenses suffered or incurred as a result of your breach of these terms.
- The EMA will only be responsible for loss or damage you suffer which is the reasonably foreseeable result of the EMA’s breach of a legal duty of care owed to you, but in no event shall the liability of the EMA or its affiliates exceed the amount of the attendance fee.
- The EMA will not be responsible to you for any loss or damage suffered by your business, such as lost data, lost profits or any business interruption.
The limitations of liability in this section 21 apply for the benefit of the EMA, its affiliates, and all of their respective officers, directors, employees, agents or any company who we transfer our rights and obligations to in accordance with these terms.
Our liability will not be limited in the case of death or personal injury directly caused by our negligence.
General
- These terms contain the entire agreement between you and the EMA.
- If any provision of these terms is held to be invalid, illegal or unenforceable for any reason by any court of competent jurisdiction, such provision will be severed and the remainder of the provisions will continue in full force and effect as if the terms had been executed with the invalid, illegal or unenforceable provision omitted.
- Any express or implied waiver to perform any obligations under these terms will not prevent the subsequent enforcement of them.
- A person who is not a party to these terms has no right under the Contracts (Rights of Third Parties) Act 1999 to enforce any of these terms.
- These terms will be governed by English law and you irrevocably submit to the exclusive jurisdiction of the English courts. Nothing in this clause will limit the EMA’s right to take proceedings against you in any other court of competent jurisdiction.

- We may update these terms for legal or regulatory reasons, or to reflect changes in our services or business practices. We will provide notice of any significant changes in this section of our terms. You should regularly check this section to see if any changes have been made.
